Privacy Policy & POPIA Notice

⚠ UNREVIEWED DRAFT — NOT LEGAL ADVICE. This page was scaffolded from what the system actually does with personal information, so that nothing here is invented. It has not been reviewed by a legal practitioner, and items marked [TO CONFIRM] still need real answers from the business. Do not treat this as a published policy or rely on it until a qualified person has reviewed and signed it off.

Status: Not yet published — draft

1. Who we are

MJ Manzini Holdings (Pty) Ltd (registration number 2026/429112/07), trading as MJ Manzini Logistics, is the responsible party for the personal information described in this notice. Our head office is in Kuilsriver, Cape Town, South Africa.

Information Officer: [TO CONFIRM — POPIA requires every private body to designate an Information Officer and register them with the Information Regulator. This defaults to the head of the business unless someone else is appointed. Name, email and contact number needed here.]

2. What we collect, and when

We collect personal information in the following circumstances only:

2.1 When you submit an enquiry

Our enquiry form asks for your name, email address, and — optionally — your company name, together with the free-text message you write. Because the form invites you to describe a delivery, that message commonly contains collection and delivery addresses. We store all of this.

2.2 When you request a quote estimate

The instant estimator sends us the cities, load size and service level you select. It does not ask for or store your identity, and an estimate on its own is not linked to you.

2.3 When you track a consignment

Tracking is by consignment reference. Where a delivery has been completed, the record includes the name of the person who signed for it.

2.4 Technical information

We record your IP address transiently to rate-limit our public forms and protect them from abuse. We use Cloudflare Web Analytics, which is cookieless and does not track individuals or build advertising profiles. We do not use advertising or tracking cookies.

3. Why we process it

  • To respond to your enquiry and prepare a quotation.
  • To arrange, carry out and prove delivery of freight.
  • To protect our systems from spam and abuse.
  • To meet our record-keeping obligations under South African law.

Supplying your information is voluntary. If you choose not to supply it, we will not be able to respond to your enquiry or carry your freight.

4. Who we share it with

We do not sell personal information. We share it only with operators who need it to perform the service — for example the driver assigned to your consignment — and with the following processors:

  • Cloudflare — hosting, database and analytics.
  • Resend — delivery of enquiry and reply emails.

[TO CONFIRM — both processors may process data outside South Africa. POPIA section 72 governs cross-border transfers, and this section should state the basis relied on.]

5. How long we keep it

[TO CONFIRM — no retention period is currently enforced by the system; enquiry records are kept indefinitely. A defined retention period needs to be agreed and then implemented, otherwise this section cannot be truthful.]

6. Your rights

Under POPIA you may:

  • ask what personal information we hold about you;
  • ask us to correct or delete information that is inaccurate or no longer needed;
  • object to processing;
  • complain to the Information Regulator.

To exercise any of these, email info@logistics.mjmanziniholdings.co.za. The Information Regulator of South Africa can be reached at inforegulator.org.za.

7. Security

Traffic is encrypted in transit. Portal passwords are stored using PBKDF2-HMAC-SHA256 with a per-user salt, never in plain text. Access to operational records requires an account, and driver accounts can only see the consignments assigned to them.

8. Changes

Any change to this notice will be published on this page.
